Great Plains Technology Center may grant “flex-time” time to an exempt, salaried employee at Administration’s discretion when an exempt employee works outside of their normal scheduled hours. Great Plains Technology Center is not obligated or legally required to grant flex-time to exempt employees, and this policy does not create a property right in flex-time.

Workweek schedule adjustments are commonplace during normal operations to fulfill the mission of Great Plains Technology Center. These adjustments during the same workweek should be the primary method of accommodating tasks, activities, and events which cause an employee to work hours outside of their normal schedule. These adjustments are handled through approval of the employee’s administrator or supervisor and do not constitute flex time. These adjustments do not need to be entered into the center’s leave recording system.

Flex-time should only occur when workweek adjustments are not possible or practicable and requests will be granted on an hour-for-hour basis, in 15 minute increments. Requests will be entered into the center’s leave recording system equal to the additional hours worked which an exempt employee can take a later date with approval from their supervisor.

If an employee was scheduled to work that day, no more than four (4) hours of flex leave may be granted. If an employee was not scheduled to work that day, no more than twelve (12) hours of flex leave may be granted.

Circumstances when flex-time may be granted:

  • An exempt employee attends professional development outside of normal working hours that is mandatory to their position.
  • An instructor accompanies and is responsible for students at a competition outside of normal working hours, see below for exceptions.
  • An exempt employee assists with an event/task outside of normal working hours.
  • An exempt employee is required to report to the school on a paid, administrative leave day (i.e. inclement weather or designated holiday).

Circumstances above are not all-inclusive and individual circumstances may be reviewed on a case-by-case basis.

Circumstances when flex-time may not be granted:

  • Exempt employee arriving at work early, staying late, working through lunch or working a holiday/weekend to accomplish tasks within the normal scope of duties.
  • Exempt employee traveling for National Contests during the summer or OkACTE Summit.

To request flex-time, employees must complete an Salaried Personnel Flex Time request form in the center’s HRIS when hours are worked that may qualify the employee for flex time. Once the request is approved, Human Resources will enter the hours into the employee’s leave balance in the center’s leave recording system.

All flex-time must be recorded and scheduled in the center’s leave recording system. All flextime earned by exempt employees must be taken by June 30 of the year it is earned or it will be lost. No flex-time will carry over to the next fiscal year. Flex-time is subject to all other center policies and procedures governing the approval process for using time off. 

Any exceptions to the policy must be approved by the superintendent or designee.
