Number of SMEs Needed:  ACT recommends job profiling sessions contain ten percent of the job incumbent population, minimally six employees, with appropriate flexibility in some cases. Persons in the organization who have previously done the job or who supervise the job may participate as SMEs, but there should be more incumbents than non-incumbents. As much as possible, the group of SMEs should reflect a diversity of age / gender / ethnicity, and should reflect the average incumbent in terms of job performance.

SME Session Two:  ACT recommends running a minimum of two groups to establish the reliability of the profile results, however this decision ultimately lies with the employer.

SME Reconciliation Session:  This refers to a situation where the SMEs disagree by more than one skill level. If SMEs disagree by one skill level, the lesser of the levels is used.

Session Consensus and Logistics:  Example of how consensus and logistics affect the total hours are any delays, rescheduling, or interruptions to meetings that may occur. The amount of discussion needed to reach a consensus may also affect the total hours.

Session Content Hours: Session content hours are approximately three to four hours for the task analysis, one hour for each skill, and an extra half hour each for the Observation and Teamwork skills. Consideration must also be given to items such as consensus, logistics, breaks / lunch, and continuity if shorter sessions are scheduled rather than one long session; or if a session is not completed as scheduled.

Session Meeting Room Requirements: 

  • Space and electrical outlets for:  Flip chart, laptop computer and projector, projection screen or equivalent, participants to sit at a table, and profiler(s) to collate papers.
  • Timely access to a photocopy machine during the profile session
